Privacy Policy

Plain-language summary: Talkli is operated by Speech by Katie LLC. We collect the information you give us to use the service — your name, email, and data about speech therapy sessions and goals. We use it to run the platform. We do not sell your data. We do not use it for advertising. We do not collect Social Security numbers or government IDs, and families may use nicknames for extra privacy. Children's data is handled with extra care under COPPA. AI features are optional and you can choose not to use them. You can request deletion of your data at any time.

1. Overview

This Privacy Policy describes how Speech by Katie LLC, a Florida limited liability company doing business as Talkli ("Talkli," "we," "us," or "our"), collects, uses, discloses, and protects information about you when you use talkli.ai and related services (the "Service").

By using Talkli, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. US-only service

Talkli is intended solely for users located in the United States. The Service is not offered to, targeted at, or intended for use by individuals outside the United States. By using Talkli, you represent that you are located in the United States. We do not market the Service in the European Economic Area, the United Kingdom, Switzerland, or other jurisdictions with cross-border data-transfer frameworks, and we do not assume compliance obligations under the EU General Data Protection Regulation (GDPR) or similar non-US privacy laws.

All data we collect is stored and processed on servers located in the United States.

3. Information we collect

Information you provide directly

  • Account information: Name, email address, password, and role (parent or speech-language pathologist) when you register.
  • Profile information: For SLPs — practice name, credentials, license number, state, city, profile photo, specialties, and rates. For parents — first name and contact preferences.
  • Clinical data: Therapy goals, session notes, accuracy scores, home practice guidance, and progress records entered by speech-language pathologists.
  • Practice session data: Results from practice games, including words attempted, accuracy scores, and session duration.
  • Billing information: Superbill data including CPT codes, ICD-10 diagnosis codes, session dates, fees charged, and e-signatures. We do not store payment card information.
  • Communications: Messages you send through the contact form or to our support team.

Child profile information

Because the core purpose of Talkli is to support speech therapy for children, child profiles are a central category of data we handle. These profiles are created only by a parent, legal guardian, or licensed SLP, and may include:

  • First name and last name (or a nickname — see below)
  • Date of birth
  • Diagnosis and diagnosis codes (ICD-10)
  • Interests and session preferences
  • Therapy goals and clinical records maintained by the SLP

What we do not collect: Talkli does not collect or store Social Security numbers, driver's license numbers, government-issued identifiers, payment card data, or biometric identifiers. There is no field in the system that ties a child's clinical record to a government ID, and parents are free to use a first-name-only entry or a nickname if they prefer additional privacy.

Information collected automatically

  • Usage data: Pages visited, features used, time spent, and actions taken within the app.
  • Device information: Browser type, operating system, and screen resolution.
  • IP address and approximate location: Used to improve the service and detect fraud. We do not track precise GPS location.
  • Cookies and similar technologies: See the Cookies section below.

4. How we use information

We use the information we collect to:

  • Provide, maintain, and improve the Talkli platform
  • Create and manage user accounts
  • Connect families with their speech-language pathologists
  • Generate and deliver clinical notes, goals, and session records
  • Generate superbills and facilitate e-signatures
  • Power optional AI-assisted features (see below)
  • Send transactional emails (account confirmation, invite links, session notifications)
  • Respond to support requests and inquiries
  • Monitor for fraud, abuse, and security incidents
  • Comply with legal obligations

AI-powered features and third-party AI processing

Talkli offers optional AI features, including the practice content generator and the parent AI assistant. When you use these features, content you provide — which may include therapy goals, target sounds, diagnosis information, session context, and the questions you type — is transmitted to our third-party AI model provider (currently Anthropic) for processing. The AI provider returns a generated response that we then display to you.

Important points about AI processing:

  • Use of AI features is optional. You can use Talkli's core features — account management, session notes, goal tracking, practice games with pre-authored content, and superbills — without triggering any AI processing.
  • No government identifiers are involved. As noted above, the system does not capture or store SSNs or government IDs, so this type of information is not included in data sent to the AI provider. Families may also use nicknames or first names only in child profiles to further limit what is sent.
  • The AI provider processes data on our behalf. Our AI provider is contractually prohibited from using data submitted through the Talkli API to train its models, and is bound by confidentiality and security obligations.

We do not use your personal information for advertising and do not sell it to third parties.

5. Sharing and disclosure

We share information only in the following circumstances:

Within the platform

Clinical notes, goals, and session data are shared between a speech-language pathologist and the family they are linked to within Talkli. This sharing is the core purpose of the Service and is controlled by the SLP, who decides what to publish to the family.

Service providers

We use the following third-party service providers to operate the platform. Each is contractually bound to protect your information and to process data only as necessary to provide services to us:

  • Supabase — database, authentication, and row-level security (data stored in the United States on AWS)
  • Netlify — web hosting and serverless functions
  • Resend — transactional email delivery
  • Anthropic — AI language model for optional practice content generation and the parent assistant
  • Google Analytics — aggregate website and app usage analytics (IP anonymization enabled)

Legal requirements

We may disclose information if required to do so by law, court order, or government authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

Business transfers

If Speech by Katie LLC is involved in a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website before your data is transferred and becomes subject to a different privacy policy.

6. Data security

We implement technical and organizational measures to protect your information, including:

  • Encrypted data transmission using HTTPS/TLS
  • Encryption of data at rest in our cloud database
  • Row-level security on all database tables, ensuring users can only access data they are authorized to see
  • Secure authentication via Supabase Auth with email confirmation
  • Role-based access controls (parents and SLPs have separate, limited access scopes)
  • Minimization of sensitive identifiers — we do not collect SSNs, government IDs, biometrics, or payment card data

No method of electronic transmission or storage is 100% secure. If you believe your account has been compromised, please contact us at security@talkli.ai immediately.

7. Children's privacy & COPPA

Talkli is designed for use by parents, legal guardians, and licensed speech-language pathologists to support children receiving speech therapy services. We take the privacy of children seriously and handle child data consistent with the Children's Online Privacy Protection Act (COPPA) and its implementing rule (16 CFR Part 312).

How child data enters Talkli

Child profiles are created and controlled exclusively by:

  • A parent or legal guardian acting on behalf of their child, or
  • A licensed speech-language pathologist acting under a professional therapy relationship with the family and with the authorization of the parent or guardian.

Children do not create accounts, do not log in to Talkli, and do not directly provide personal information to us. The Service is intended to be used only under the direct supervision of a parent, legal guardian, or licensed SLP. Practice activities that a child participates in are initiated and overseen by that adult using their own account.

Verifiable parental consent

Because child profiles are created only by a verified adult account holder (a parent/guardian or a licensed SLP with whom the family has an existing therapy relationship), we rely on that account-holder relationship and the therapeutic context as the mechanism for parental consent. Parents who wish to withdraw consent or delete their child's profile may do so at any time through the app or by contacting privacy@talkli.ai.

How child data is used

Child data is used only to provide the Service — displaying practice content, tracking progress, supporting the optional parent AI assistant when the parent chooses to use it, and generating clinical documentation. We do not use child data for advertising, profiling, or sharing with third parties for their independent use. We do not permit third-party behavioral advertising on any page where child data is displayed.

If you believe we have collected information about a child in a manner inconsistent with COPPA, please contact us at privacy@talkli.ai and we will take prompt action to investigate and, where appropriate, remove the information.

8. Your rights

You may have the following rights regarding your personal data, depending on applicable state law:

  • Access: Request a copy of the data we hold about you.
  • Correction: Request that we correct inaccurate or incomplete data.
  • Deletion: Request that we delete your account and associated data, subject to the retention rules described in Section 11.
  • Portability: Request your data in a machine-readable format.
  • Objection: Object to certain uses of your data.

To exercise any of these rights, email privacy@talkli.ai. We will respond within 30 days, or within 45 days where California law applies. We may need to verify your identity before fulfilling the request, and we may extend the response period where permitted by law and notify you accordingly.

9. California privacy rights

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the "CCPA"), provides you with additional rights regarding your personal information.

Categories of personal information we collect

In the past 12 months, we have collected the following categories of personal information, as defined by the CCPA:

  • Identifiers (name, email address, account identifiers, IP address)
  • Customer records (SLP credentials and practice information)
  • Protected classification characteristics (child date of birth; diagnosis information, to the extent considered medical information)
  • Commercial information (transaction and billing records associated with superbills)
  • Internet or network activity (usage data, browser type, device information)
  • Geolocation data (approximate, IP-based only; no precise GPS)
  • Professional information (SLP license number, specialties, practice details)
  • Inferences drawn from the above to personalize practice content

Sources, purposes, and recipients

We collect this information directly from you, automatically through your use of the Service, and (for child profiles) from a parent, legal guardian, or SLP acting on behalf of the child. We use it for the purposes described in Section 4 and share it only with the service providers listed in Section 5.

We do not sell or share your personal information

Speech by Katie LLC does not sell personal information, and does not "share" personal information for cross-context behavioral advertising, as those terms are defined under the CCPA. We have not sold or shared personal information in the preceding 12 months and have no current plans to do so.

Sensitive personal information

We collect information that may constitute "sensitive personal information" under the CCPA, including account log-in credentials and health-related information about children in therapy. We use this information only for the purposes described in Section 4 and do not use it for inferring characteristics about a consumer beyond what is necessary to provide the Service. We do not "sell" or "share" sensitive personal information.

Your California rights

  • Right to know what personal information we have collected, used, disclosed, and for what purposes
  • Right to delete personal information we have collected about you, subject to legal exceptions
  • Right to correct inaccurate personal information
  • Right to opt out of sale or sharing — not applicable in practice because we do not sell or share personal information
  • Right to limit use of sensitive personal information — we already limit such use to providing the Service
  • Right to non-discrimination for exercising your privacy rights

To exercise any of these rights, email privacy@talkli.ai. You may designate an authorized agent to make a request on your behalf; we may require verification of the agent's authority and of your identity.

Other US state privacy rights

Residents of other US states with comprehensive privacy laws (including but not limited to Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and Montana) may have rights substantially similar to those listed above. To exercise any such rights, contact privacy@talkli.ai and identify your state of residence so that we can apply the correct framework to your request.

10. Cookies & analytics

Talkli uses cookies and similar technologies for the following purposes:

  • Authentication: To keep you signed in to your account.
  • Preferences: To remember your settings between sessions.
  • Analytics: We use Google Analytics to understand how visitors use the site. We configure Google Analytics with IP anonymization enabled and do not combine analytics data with advertising identifiers. You can opt out using Google's opt-out browser add-on.

We do not use advertising cookies or third-party tracking pixels.

11. Data retention

We retain your personal information for as long as your account is active or as necessary to provide the Service.

When a parent closes their account

When a parent or family closes their account or discontinues use of the Service, we will deactivate the family account within 30 days. However, clinical records created by the treating SLP — including session notes, goals, accuracy data, and superbills — may be retained in the SLP's account in archived form, consistent with the SLP's professional record-keeping obligations under applicable state law and licensing board rules. While archived, these records are no longer visible to the family and are used only for the SLP's legal record-keeping purposes.

Written request for complete removal

A parent or legal guardian who wishes to have their child's data completely removed from the system, including from the SLP's archives, may submit a written request to privacy@talkli.ai. We will:

  • Acknowledge the request within 10 business days;
  • Notify the treating SLP, whose professional record-keeping obligations may affect the timing or scope of deletion;
  • Coordinate with the SLP to remove records to the extent permitted by applicable law (some state laws require SLPs to retain minor records for a set number of years after the patient reaches the age of majority); and
  • Confirm in writing once deletion has been completed, or explain any legally required retention that prevents complete deletion.

When an SLP closes their account

When an SLP closes their account, clinical records they created remain accessible to the linked families in read-only form for a reasonable period unless the SLP requests otherwise. We will work with the SLP and affected families on a transition plan consistent with professional record-keeping requirements.

Other retention

We may retain limited data (such as billing records and audit logs) for longer periods as required by law or as reasonably necessary for fraud prevention, dispute resolution, and enforcement of our Terms of Service.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by posting a notice in the app at least 14 days before the changes take effect. Your continued use of the Service after that date constitutes your acceptance of the updated policy.
